Conservatory Refund Policy

Payment & Refund Policy
We want your registration experience to be simple and transparent, so here’s how payments, cancellations, and makeup classes work at Hillbarn.

Payment

  • Full payment is due at registration.
  • If this creates a financial hardship, please email conservatory@hillbarntheatre.org to request a payment plan or scholarship application.

Refunds for Classes, Workshops, & Camps

  • 4 or more weeks before start: Full tuition refund, less a $100 administrative fee per registration.
  • 2–3 weeks before start: 50% tuition refund, less a $100 administrative fee per registration.
  • Less than 2 weeks before start: Tuition is nonrefundable.
    Refund exceptions or transferable credits may be considered in cases of documented illness, injury, or family emergency.

Refunds for Productions

  • Before auditions: Full tuition refund, less a $100 administrative fee per registration.
  • After auditions but before callbacks: 50% tuition refund, less a $100 administrative fee per registration.
  • Once you attend callbacks: Tuition is nonrefundable.
    This policy ensures fairness to the full ensemble, as casting decisions and rehearsal planning rely on student commitments. If you attend callbacks, we assume you want to be in the show.

Refund Process

  • Requests must be made in writing to conservatory@hillbarntheatre.org.
  • Refunds are processed to your original payment method within 10 business days.

Missed Classes

  • No refunds, credits, or prorating are offered for individual student absences.
  • If an extended illness or emergency prevents participation, please contact us.

If Hillbarn Cancels a Class

  • If a single class session is canceled, we will schedule a makeup and notify families by email.
  • If a program is canceled due to low enrollment or other circumstances, you will receive a full refund, including administrative fees.

We believe theatre education should be available to everyone, regardless of your financial situation. We have a limited number of needs-based financial aid scholarships available for all of our programming. We also offer payment plans. Please email conservatory@hillbarntheatre.org to ask about financial aid and payment plan options.

We do not pro-rate any classes or programs.

Congrats! You successfully enrolled your child. The software we use for classes, camps, etc. is the same software we use in the box office for ticket purchases. So don’t be worried about the word “ticket”, you’re enrolled!

Once you have registered for a class, camp or production you will receive a welcome packet full of information and paperwork to complete before the first day of class. Packets traditionally go out about two weeks before the program’s start date, and that is where we will gather all the information about your student.

Locations are listed on the registration page of the individual workshops, classes or programs.

Email conservatory@hillbarntheatre.org and we’ll get the message to the teaching artists.

Your child can choose to withdraw, but no refunds will be given. Dropping out due to casting disappointment may also affect future program eligibility.  Theatre naturally comes with disappointment—even professionals don’t always get the roles they hope for. Learning to handle this is part of the educational experience.  Every role offers growth, learning, and a chance to shine. Casting decisions consider age, skill, experience, the student’s attitude, and the overall needs of the production. 

Tips for Parents

  • Acknowledge feelings: Let your child feel disappointed without minimizing it.
  • Reassure: Remind them that they will still have a fun, educational, and rewarding experience.
  • Focus on the positives: Highlight new skills, new or renewed friendships, and opportunities to perform. Tell them why YOU are excited for them in whatever role they play.
  • Stay supportive: Encourage them to give their best effort in their role.
  • Reach out if needed: If your child is struggling, we’re happy to talk with them. Email conservatory@hillbarntheatre.org

When you enroll your child in a class, camp, or production, you will be asked to put a name on your ticket. Here you will put your child’s name. You can put either E-Ticket or Will Call as a delivery method. Both are okay.

If the class/camp/production is a multi-day session, the ticket will be dated the LAST day of the session (not the first).

After you enroll, a confirmation of purchase email will be sent which will include the link to the enrollment forms.

Character

Brigitte (she/hers)  is a native Bay Area actress and theatre maker. When Brigitte is not on the stage she is taking your calls managing the Hillbarn Box office. Brigitte Is very excited to be back performing on the Hillbarn stage with such an incredible wealth of bay area talent. Some past roles include Ensemble/swing in Kinky Boots (ROLT), Kelly Manning in The Mad Ones & Heather Chandler in Heathers (PSP), Ali in Mamma Mia (San Jose Stage Co), Poppy in Noises Off (Hillbarn Theatre), Little Red Riding Hood in Into the Woods (LASC).
